How to Set Up Expiration Dates For SharePoint News

This article shows you how to add an expiration date to the news on your SharePoint site. This is helpful when you want to set a time frame for how long a particular news item is displayed on your SharePoint site.

Prerequisites

  • You must already have existing news on your SharePoint site.

Step-by-step Tutorial

Follow the steps to learn how to set expiration dates for news:


Step 1: Open Site Pages

Click the [1] cogwheel icon and select [2] Site Contents:

Scroll down and click Site Pages:

In Site pages, you’ll see all the pages on your site, including all the news you have:

TIPTo easily identify all news pages, show the Promoted State column. All news pages have 2 as their promoted state value. To show this column, you can check out Step 2 of How to Filter News by Department in SharePoint.

Step 2: Add an Expiration Date Column

You must create an expiration date column to control how long news pages remain visible on your sites. This column determines when each news page will automatically stop appearing. Click Add Column:

Select [1] Date and time and click [2] Next:

Write [1] Expiration Date in the Name field and click [2] Save:

Step 3: Assign an Expiration Date to Each News

Click Edit in grid view:

Under the expiration date column, assign a date to all pages with ‘2’ as a promoted state value:

Click Exit Grid Mode:

Step 4: Set-up Expiration Date Filter

Click the [1] view drop-down and select [2] Edit current view:

Go to the Filter section and add the following details:

  • [1] Show items only when the following is true
  • [2] Expiration Date
  • [3] is greater than
  • [4] [TODAY]

Then, click OK to apply your changes:

NOTERepeat step 4 for all the views that you want to set up the expiration date for. Simply select the view, edit it, add the details, and save:
