Setting Up Power BI Integration

Power BI is a powerful Microsoft service that allows users to turn large volumes of data into meaningful reports and visualizations. ShortPoint recognizes the value of presenting dashboards and reports on your SharePoint sites. 


We have made it seamless to integrate Power BI output through the Power BI Design Element. We give you an overview of this feature in this article.

Prerequisites

To integrate Power BI dashboards and reports using ShortPoint, you will need the following:

  • You have the latest ShortPoint SPFx version installed on your SharePoint environment.
  • You are a ShortPoint Designer with an active license.
  • You have an active and Power BI License that enables you to share your reports.
  • The users who will view your reports also have the appropriate Power BI licenses and/or permissions.

The Power BI Integration options using ShortPoint are highly dependent on the type of Power BI license you have. We provide detailed steps on how to integrate Power BI reports in the following support articles. Check out the option that applies to you and your organization:

Differences between the two integration options?

You must select the appropriate integration option that fits the Power BI license that you have. Here are the main differences between the two options:


Option 1: User-based License Integration

Choose this option if you have a user-based license (Power BI Pro or Premium Per User). 


Visitors to your site must log in with their Power BI Pro or Premium Per User accounts to view your report. 


Please note that each logged-in session is limited to one hour. Users must re-enter their credentials to continue viewing the Power BI report.

Option 2: Capacity-based License Integration



Power BI Master Account

Choose this option if your organization has a capacity-based license (Power BI Embedded) and you have a Pro or Premium Per User license that allows you to share dashboards and reports.


Any visitor with permission to view your site will be able to view your report.

Note: ShortPoint Power BI Design Element does not support the multi-factor authentication for capacity-based license integration. If such MFA is enabled, Power BI reports will not be visible on the SharePoint page.

Integration requirements and user experience

There are distinct requirements to integrate Power BI reports between the two options. There is also a difference in the site visitor experience when viewing the reports on the page.




Option 1:

User-based License Integration

Option 2:

Capacity-based License Integration

Power BI Pro license requirement


To integrate and view the Power BI report, a user must have a valid Power BI Pro or Premium per user license*

Only 1 Power BI Pro or Premium per user license is required to integrate the report

Power BI Embedded Capacity


Not Required

Required

SharePoint Site Visitor Login Requirement

Each site visitor is required to log in with a valid Power BI Pro or Premium per user license

Site visitors will not be required to have a Power BI Pro or Premium per user license to see the report. ShortPoint will render reports using one Power BI Pro or Premium per user license + Power BI Embedded capacity


Login Token Cache

ShortPoint will cache the logged-in user token for up to 60 minutes.

When the log-in expires, the site visitor will be asked to log in again to continue viewing the reports.**

ShortPoint manages the token internally and once expired, it will fetch a new one in the background seamlessly for the end user. The user will not be asked to enter credentials to view the Power BI reports.


*In the case of Microsoft 365, if the logged-in user has been assigned Power BI pro license, and she/he has access to view the report, it will load the report without asking for login. However, if it's a Power BI Dashboard or Tile, it will ask the user to log in even if the logged-in user has rights to it.

**Users will be requested to log in with their Power BI credentials if ShortPoint cannot authenticate them automatically. We recommend adding a help message to give them tips on how to login and which account to use to view the report.
